This page is intended for anyone who is editing the online versions of the Ordinances.

Update/Archive Checklist

The following shows the steps that should be taken when updating or archiving the Ordinances:

  • If there is an existing archived copy:
    • Copy an existing archive page and copy/paste the main content of the ordinance being archived into the page.
  • If there is not an existing archived copy:
    • Copy an archive file from one of the other ordinances (eg archive/23/index.htm) and copy/paste the main content across from the 'current' file.
  • Rename the file to the the form 'year_month.htm' where year and month are the respective dates on which the version being archived came into effect. (NOT when it expired).

Whichever method you use, here are a quick list of things you need to check happen in the new 'archive' file:

  • Append the words 'ARCHIVED VERSION' to the following ;
    • Page title (as displayed at the very top of the window in Dreamweaver)
    • The trail entry (ie ... University Calendar > Ordinances > Ordinance XXX - ARCHIVED VERSION)
    • The First heading in the page itself
  • Also, check that the dates on which the archive were in effect are clearly displayed at the top of the page

As users may find archived versions of Ordinances via search engines, it is vital that each archived page (and the title, which is displayed in the search engine listings) is clearly marked as being archived. If an archived page appears to be a current version it may mislead users, and lead to problems if they have acted relying on the information.
